Terms of Service
Effective date: 1 May 2026
These Terms of Service govern your access to and use of AssetCore, the IT asset management platform operated by Pro-IT (Pty) Ltd. By creating an account or using the service, you agree to these terms.
1.The service
AssetCore is a software-as-a-service application that allows organisations to record, track, and report on their IT assets, subscriptions, vendors, and related operational data (“Service”).
The Service is provided by Pro-IT (Pty) Ltd, a company registered in the Republic of South Africa (“Pro-IT”, “we”, “us”).
2.Eligibility and accounts
You must be at least 18 years old and have the legal capacity to enter into a binding agreement to use the Service. By registering an organisation, you confirm that you are authorised to bind that organisation to these terms.
You are responsible for keeping your account credentials secure and for all activity that occurs under your account. You must notify us immediately at security@pro-it.biz if you suspect unauthorised access.
3.Subscription tiers and billing
AssetCore is offered in Free, Pro, and Enterprise tiers. Tier features, asset and user limits, and pricing are published at /pricing and may be updated from time to time. Continued use of a paid tier after a price change constitutes acceptance of the new price.
Paid subscriptions are billed in South African Rand (ZAR) via PayFast. Payments are processed at the start of each billing cycle. Failed payments will trigger a grace period after which the subscription enters a past-due state and may be suspended.
Trial periods, where offered, do not require a payment method. Trials convert automatically into the selected paid tier at the end of the trial period unless cancelled.
4.Cancellation and refunds
You may cancel a paid subscription at any time from your billing settings. Cancellation takes effect at the end of the current billing period; no pro-rata refund is issued for unused time.
If you believe you have been billed in error, contact billing@pro-it.biz within 14 days of the charge and we will investigate.
5.Acceptable use
You agree not to:
- upload content you do not have the right to upload;
- use the Service to store unlawful, infringing, defamatory, or harmful content;
- attempt to probe, scan, or test the security of the Service without our prior written consent;
- interfere with the operation of the Service or any other customer’s use of it;
- resell, sublicense, or otherwise commercialise the Service except as expressly permitted.
6.Your data and ownership
You retain all rights in the data you upload to the Service (“Customer Data”). You grant Pro-IT a limited licence to host, process, transmit, and back up Customer Data solely to provide the Service to you.
We process Customer Data in accordance with our Privacy Policy and, where applicable, our Data Processing Agreement.
7.Service availability
We aim to provide the Service with high availability but do not guarantee that the Service will be uninterrupted or error-free. Scheduled maintenance windows will be communicated where possible.
8.Suspension and termination
We may suspend or terminate your access if you materially breach these terms, if your subscription remains unpaid after the grace period, or if continued provision of the Service would expose us to legal liability.
You may terminate your account at any time by deleting it from your settings. On termination, your data will be retained for 30 days to allow recovery, after which it will be permanently deleted, except where we are required by law to retain it.
9.Warranties and liability
The Service is provided “as is” without warranties of any kind, except as expressly stated in these terms. To the maximum extent permitted by law, our aggregate liability arising out of or relating to the Service in any 12-month period is limited to the amounts you paid us during that period.
Nothing in these terms excludes liability that cannot be excluded under South African law, including the Consumer Protection Act where it applies.
10.Governing law
These terms are governed by the laws of the Republic of South Africa. Any dispute arising out of or relating to these terms will be referred to the South African courts.
11.Changes to these terms
We may update these terms from time to time. Material changes will be communicated by email or in-app notice at least 14 days before they take effect. Continued use after the effective date constitutes acceptance of the updated terms.
